Guidance on New Foreign Travel Requirements
University employees and non-employees traveling outside the United States, including
travel to Canada, are required by the Executive Order 2026-14 to provide additional
information before foreign travel can be approved. To allow adequate time for review
and approval, foreign travel must be submitted for approval at least 60 days before the planned departure date.
Employees and individuals preparing Travel Authorizations (TAs) should be aware of
the following requirements to help ensure University officials have the information
needed to comply with the state Executive Order:
A new Foreign Travel Transparency Jotform has been created to collect required information for foreign travel:
The traveler or Travel Proxy must complete and submit the Jotform for all foreign travel .
Upon submission, a PDF will be sent to the submitter’s email address provided on the
form and must be attached to the TA .
TAs submitted without the required PDF will be returned to the initiator.
When preparing a TA for foreign travel:
If the trip includes overnight stays in multiple countries, list each country in the
Description field on the Travel Authorization (TA).
General Descriptions such as “Various” will not be accepted.
TAs without sufficient information will be returned for additional details.
University-related foreign travel should not begin, and accommodations should not
be made, until the TA has received all required approvals.
For purposes of these requirements, employees include students who are currently on
the university payroll.
This does not include students, faculty or staff participating in study abroad and group travel.
TAs must also be completed for foreign travel funded by a 3rd party.
